How to setup Multifactor Authentication (MFA) with Okta for logging into Eagle

Multifactor Authentication Migration Overview

According to Cyber.gov.au a cyber threat is reported every 6 minutes. Eagle CRM already offers 2FA multifactor authentication as a feature users can enable to secure their account from scammers attempting to gaining access in order to:

  1. Change bank account details to divert funds to the scammer’s accounts

  2. Post fraudulent ads on real estate portals

  3. Scam your CRM contacts

  4. Perform other actions that create significant negative financial and reputational damage.

Due to the increased risk of unauthorized access Eagle CRM is making multifactor authentication mandatory for all accounts through Okta.

The enhancement of multifactor authentication through Okta provides you with enhanced security measures, for a more secure and efficient log in workflow.

Okta is a company that specialises in customer identity and security. MRI Eagle CRM uses the Okta multi-factor authentication product to ensure we keep up to date with best practice for security when logging into Eagle Software.

What is Multifactor Authentication?
Multifactor authentication requires a user to confirm their identity on a secondary device. When enabled, users will be sent a one-time code via their authenticator app that will then need to be entered when signing into Eagle CRM.

What to Expect. High level overview.

All Eagle CRM will be migrated over to this improved and more secure Okta login method using a staggered approach.

  1. An email will arrive the day before your account's migration with a heads-up to allocate a few minutes for the migration process upon your next login.

  2. When this happens you will see a new page upon signing into the Eagle CRM web app, where you can click 'Enhance Security now'.

  3. You will be signed out of Eagle CRM and directed to a new Okta sign-in page where you will need to create a new Okta password and follow some prompts to create an Okta account.

  4. You'll then be required to select a secondary method of authentication, for example by downloading the Okta Verify app.

Once configured, the first time you log into Eagle each day you'll do so using your user email, password and authentication code. After 12 hours of inactivity, you'll be automatically logged out. To sign back in, repeat the process above.

Detailed Migration Process

The migration will immediately begin after you try logging into Eagle CRM in the normal way.

  • Open Eagle Software > Enter your email address and Password > Click Sign In

  • Read the information > Click Enhance Security Now

You will be prompted to create your Okta account:

  • Enter a new password and enter the same in 'Repeat new password'

  • Choose a 'forgot password question' and include your answer

  • Add a phone number for resetting your password or unlocking your account using SMS or Voice Call (this is optional)

  • Click a picture to choose your security image

  • Click Create My Account

You will then be prompted to set up multifactor authentication for future logins.

  • Click Setup for any of the multifactor authentication options you wish to use and follow the process.

    Note: At least one factor must be configured, yet we strongly advise setting up multiple options. This not only makes your account even more secure but also gives you alternatives should you encounter issues with your primary method.

    Okta Verify is recommended as this is the simplest method for logging into Eagle via a push notification sent to the Okta Verify app installed on your mobile device for you to click on.

Supported MFA Factors in Eagle Software.

  • Mobile App Authenticators:

    • Okta Verify: Sends you a push notification for quick approval

    • Google Authenticator (or other downloaded mobile authentication apps): Gives you a temporary security code to enter

  • Physical Devices:

    • Security Key: A small device you plug into your computer to confirm it's you

  • Biometric Methods:

    • Biometric Authenticator: Uses your fingerprint or other unique traits to verify your identity

Once you have set up an option, it will display at the top under 'Enrolled factors' with a green tick.

  • Click Setup for each additional option if desired and follow the process

  • Once complete, scroll down to the bottom of the page > Click Finish

The migration process is now complete. You will automatically be logged into Eagle Software.
